Proactive and organized, you will support both human resources and office operations in our Milan office. Reporting to our General Manager, this dual-role position ensures a smooth and welcoming workplace environment while supporting HR processes and compliance. The ideal candidate is autonomous, people-focused, very organized and thrives in a dynamic setting.
Your mission will include :
Human Resources
- HR Policy Communication & Implementation: Adapt and communicate Group HR policies to meet local requirements.
- Personnel Administration: Manage employment contracts in collaboration with the HRBP, including document preparation, verification, and signature processes. Share relevant information with employees regarding immigration, TFR, pension funds, tax deductions, health coverage...
- Payroll Contact: Follow-up with employee leave, absences, and working hours. Allocate meal vouchers and verify payslips.
- Reporting: Provide monthly staff updates to the Group, including new hires, departures, and changes in salary, hierarchy, or position.
- Recruitment & Onboarding: Support local recruitment efforts and organize onboarding activities, including induction schedules, desk setup, account activation, and welcoming new employees.
- Proximity Management: Be a point of contact for employee questions and direct them to appropriate resources.
- Compliance: Ensure adherence to local labor laws and collective agreements.
- Health & Safety: Maintain up-to-date health and safety policies in alignment with Group standards.
- HR Liaison: Communicate local issues and specific needs to the central HR department.
Office Coordination
- Meeting Room & Kitchen Management: Ensure rooms are clean, prepared, and equipped for daily use.
- Showroom Coordination: Collaborate with teams to keep the showroom clean, organized, and properly set up.
- Shipping Support: Act as the main contact for all shipping activities; organize and track incoming and outgoing shipments.
- Team Events Support: Assist in planning and coordinating team-building activities and on-site events, including group meals and lunch reservations.
- Administrative Support: Provide general administrative assistance with expense report, invoice management, Company credit card and car allocation, travel booking and Italian/English translation…
- Meeting Support: Coordinate catering and lunch orders for team meetings.
- Office Supplies Management: Monitor inventory and place orders to maintain adequate office supplies.
What set you apart :
- 5 years of HR/Office Management related experience, preferably in a mid-to-large-size company;
- Good knowledge of local labor law;
- Excellent precision, confidentiality, and attention to detail;
- Spirit of initiative and ability to adapt;
- Strong communication skills, fluent Italian, and English - written and spoken;
- Proficient computer skills, Microsoft Office, Outlook
